Private Estate Ledger
The Private Estate Ledger is the secure online record we keep for your property. Open it from anywhere and see exactly what happened at the house, when, by whom, with photos, and what it cost.
Most “owner portals” are a login that shows you a green checkmark. The Ledger is the working file we actually run your property from. Every walkthrough report lands in it the day of the visit. Every project has its own page with the quote, the receipts, the photos and the conversation about it. Every hour we spend is logged against your plan. Every manual, permit, warranty and agreement is filed where the next person who needs it can find it.
You see the same record we do, minus the internal notes, so there is never a version of events you have to take on faith.

Screens shown with a sample property. Client files are private and never shown.
Every visit, dated and photographed, filed the same day. Compare this month to last.
Quoted versus spent on every job, materials passed through at cost with the receipt attached, and a conversation thread so decisions are written down.
Maintenance and concierge hours logged by the quarter hour, with what each entry covered and what is banked.
Filters, generator runs, septic, gutters, dock and lift timing, each with its own interval and history, so nothing depends on memory.
Overnight lows for the next four nights and a hard-freeze flag, checked twice a day, so a cold snap gets a visit before it gets a pipe.
Where the shutoffs are, what the furnace takes, who installed the dock, which vendor to call, and the house notes your family and guests need.
Manuals, warranties, permits, insurance and the signed agreement, sorted by main house, guest house, boathouse, shop or grounds.
See something on your visit? Add it from your phone with a photo. It becomes a project and we pick it up on the next walkthrough.
Everything about your property, every report and receipt, every project cost we have shared, and the household manual. You can add files, report items, approve quotes and message us from any page.
The same record plus our internal notes, access details and the working checklist. Only Jeremy and Heather hold a team login.
When a large project is underway, your project manager gets a view limited to that work: the areas, projects and files they need, nothing about your household or schedule.
Access codes, alarm details and your travel schedule are never written into the Ledger. Those live in your signed access sheet, held separately.

The Ledger is included in the Evergreen and Heritage plans, and is built as part of onboarding for every Elite estate. Home Watch and Sentinel clients can add it for $95 a month; walkthrough reports still arrive by email either way.
There is nothing to install. It runs in the browser on your phone or laptop, with your own login.
